Understanding Fuel Reports

CStore Essentials have numerous reports to help you get a better understanding of your fuel business. In this article, we will cover the various reports and gain a better understanding of each.

Tank/SIR Report

As a gas station operator, you are required by Federal EPA laws to main an SIR (statistical inventory reconciliation) report. These report help to determine whether a tank system is leaking by conducting a statistical analysis of inventory, delivery and dispensing data collected over time. By simply updating daily paper work to record daily sales, entering tank closing inventory, and inputting gas delivery, users can maintain and manage their SIR reports directly within CStore Essentials. To view this report simply do the following:

Step 1: Log into CStore Essentials, go to Gas>Tank Reports.

Step 2: Select the “Report Date”, “Select Grade”, and Run Report.

Fuel Profit

By selling fuel most gas station owners are only making a few pennies on a gallon and its very import for business owners to know the gross and net fuel profits, especially in a competitive market. With CStore Essentials, as long as you are recording your sales, entering purchases, and cost, you can get a birds eye view of your stores fuel profit, both before and after taking into account various costs (freight, credit card fees, inventory adjustments (shrinkage/overage), etc). To generate the fuel profit report follow these simple steps:

Step 1: Log into CStore Essentials, go to Gas>Reports.

Step 2: Select the “Report Date”, and set Report type as Gas Profit and click on Run Report.

This report breaks down your daily fuel profit per grade and the total net profit per day. At the bottom of the table it will give you the profit/gallon per grade before taking into account costs such as fuelman (fleet cards), credit card fees, and other miscellaneous costs. At the bottom of the page, the report will give you a summary and the net profit after taking into account various expenses/incomes as well as the profit per gallon after all the expenses/incomes.

Note you can export any of these reports to Excel or print them by using the icons on the top right.

Fuel Sales Log

This report is ideal for understanding daily sales for each grade. This report is only available if you are entering day reports on a regular bases in CStore Essentials. If you are not, you can obtain a similar report based on raw POS data by going to POS data -> Reports -> Gas Sales. To Generate a sales log report for fuel follow these steps:

Step 1: Log into CStore Essentials, go to Gas > Reports.

Step 2: Select the “Report Date”, and set Report type as Sales Log and click on Run Report.

This report breaks down your daily fuel sales per grade and the total sales per day for both gallons and amount. At the bottom of the table the report also gives a 30 day projection.

Note you can export any of these reports to Excel or print them by using the icons on the top right.

Jobber Log Report

This report is meant for those that have branded stores and what to know the approximate balance the jobber owes you or you owe them. Simply put, this report will give you a day by day running balance for your jobber payments. To view this report, follow these steps:

Step 1: Log into CStore Essentials, go to Gas>Reports.

Step 2: Select the “Report Date”, and set Report type as Jobber Log and click on Run Report.

This report breaks down your daily jobber balances. The Total charges are usually the fuel purchase amount and payment is the payment you made to the jobber. Ideally this is the same number that should show up in your Assets/Liability report (aka Networth report).

Note you can export any of these reports to Excel or print them by using the icons on the top right.

Purchase Log Report

This report allows users to need not only the purchase history over a given period of time but also the actual cost of the fuel for each grade type. For instance if you had 500 gallons in your tank at a cost of $1.50 and received 500 more gallons for $1.00, your actual waited cost of the fuel is $1.25. This report will give you a grade by grade breakdown of your purchase history. To view this report, follow these steps:

Step 1: Log into CStore Essentials, go to Gas>Reports.

Step 2: Select the “Report Date”, and set Report type as Purchase Log and click on Run Report.

On this report, you will only see dates for when you have made purchases. In the columns you will find the in tank volume, the purchase volume, the cost per gallon for the purchase volume and the weighted cost, which is the average of cost when taking into account the cost of the fuel in the tank prior to purchase.

Fuel Inventory at Cost Report

This report allows users know the value of the fuel inventory currently in the tank. It gives users a grade by grade inventory breakdown with both volume and amount as well as the average cost per gallons. The report will also give you a total volume and dollar amount per day. The number in this report should be the same in your networth report as an asset. To view this report, follow these steps:

Step 1: Log into CStore Essentials, go to Gas>Reports.

Step 2: Select the “Report Date”, and set Report type as Inventory At Cost Log and click on Run Report.
